Car hire FAQ

Car rental questions answered

Straight answers on insurance, deposits, disputes, fuel policies, upgrades, and the little rental-counter tricks that catch tired travellers out.

Insurance & Coverage

What does CDW mean in car hire?

CDW stands for Collision Damage Waiver. It usually limits your liability for damage to the rental car, but it does not always remove it entirely. Most CDW products still leave you with an excess and still exclude items like tyres, glass, roof, underbody, keys, or damage caused by breaching the rental contract.

What is car hire excess?

The excess is the amount you can still be charged if the car is damaged or stolen. Even when a rental includes basic cover, the excess can still be high, often several hundred or several thousand euros depending on destination and supplier.

Do I need extra car hire insurance?

Not always. Some travellers rely on a good credit card policy or a standalone excess reimbursement policy. Others prefer supplier zero-excess cover because it reduces hassle at claim time. The right answer depends on your excess, your route, and whether you can absorb a large temporary charge.

What does excess waiver insurance cover?

Excess waiver products are designed to reduce or remove the amount you pay if something happens. Some are sold directly by the rental company and work at the desk. Others are reimbursement products that pay you back after the rental company charges you first.

Deposits & Payments

Why does the rental company block a deposit?

The deposit protects the supplier against damage, fuel disputes, fines, and contract breaches. It is separate from the rental price and can stay blocked for days after return depending on your bank and the supplier's release process.

Can I rent a car with a debit card?

Sometimes, but many suppliers prefer or require a credit card for the main driver. Debit card acceptance varies by country, vehicle class, and whether you buy extra cover. Always check the pickup terms rather than assuming the booking platform summary tells the full story.

How much is a typical car hire deposit?

There is no single number. Deposits can range from a few hundred euros to more than €2,000 depending on supplier, destination, vehicle class, and whether you decline the rental company's optional protection products.

Why is the final price higher than the headline rate?

Because the cheapest headline rate often excludes or hides practical costs such as airport fees, additional driver charges, young driver fees, higher insurance liability, border permissions, or stricter fuel and deposit conditions.

Pickup & Returns

What documents do I need at pickup?

Usually your driving licence, passport or ID, booking confirmation, and a valid payment card in the main driver's name. Some countries or vehicle categories may also require an International Driving Permit or proof of address.

Should I photograph the car before driving away?

Yes. Take clear photos and a short video covering every panel, wheels, glass, roof edge, bumpers, dashboard, and fuel level. That documentation can save you from expensive arguments about pre-existing damage later.

Is airport pickup always better than city pickup?

Not always, but airport pickup usually offers more supplier choice and easier stock availability. City pickup can be smarter if you are staying in the centre first and want to avoid paying for parking or driving in heavy traffic before the road trip starts.

What should I check at return?

Fuel level, mileage, exterior condition, interior cleanliness, and whether a staff member confirms the return in writing. If possible, avoid key-box-only returns unless you have photographed the car and dashboard thoroughly.

Damage & Disputes

What if the car already has damage?

Make sure every scratch, dent, wheel scuff, and windscreen mark is recorded before you leave. If lighting is poor, say so and document it yourself with photos and video.

How do I dispute a damage charge?

Respond quickly and attach pickup and return photos, the signed checkout sheet, the return confirmation, and any timestamps or receipts that support your case. The stronger your documentation, the harder it is for a vague claim to stick.

Can they charge me after I return the car?

Yes. Some suppliers inspect the car later or process fuel, toll, cleaning, or admin charges after the rental closes. That is why written return confirmation and photographs at drop-off matter so much.

What counts as wear and tear?

Normal wear and tear usually means minor deterioration from regular use, but suppliers define it differently. Ask how their policy treats small chips, tyre marks, or interior scuffs rather than assuming every small defect is automatically ignored.

Booking Tips

When is the best time to book car hire?

For peak-season destinations, booking several weeks ahead usually gives better choice and saner prices. Last-minute bookings work best in low season or flexible cities, not on islands or major summer airport routes.

Should I book directly or through a comparison site?

Comparison sites are useful for search and shortlisting. Direct booking can sometimes simplify changes or claims. The best approach is to compare both and then judge the full terms, not just the top-line rate.

Are price matches worth chasing?

Only if the terms genuinely match. A lower price with a larger excess, stricter fuel rules, or worse cancellation terms is not really the same booking.

How do I know if a cheap deal is too cheap?

Look for clusters of warning signs: a very low base rate, a huge deposit, repeated review complaints about damage or insurance pressure, and unclear local terms. One red flag may be manageable. Several together usually are not.

Cross-border & One-way

Can I drive a rental car across a border?

Often yes, but only with explicit supplier approval. Permission, paperwork, and fees vary by country pair, vehicle class, and local franchise. Never assume a short border hop is automatically allowed.

What is a one-way car hire fee?

It is the extra charge for returning the car in a different city or country from where you collected it. Some one-way fees are reasonable. Others completely change the economics of the booking.

Do ferries count as cross-border travel?

Not always, but ferry use is often restricted separately from normal driving. A supplier may allow cross-border driving but still limit ferries, islands, or vehicle transport by sea without prior approval.

What paperwork should I ask for before crossing a border?

Written approval listing the allowed countries, any insurance certificate or green card equivalent, and confirmation that the exact vehicle class is covered for the route you plan to drive.

Fuel Policies

What does full-to-full mean?

You collect the car with a full tank and are expected to return it full. It is usually the fairest fuel policy, but you should keep the final fuel receipt and refill close to the return point.

Is prepaid fuel ever worth it?

Sometimes on very late returns or very short trips, but often not. Most travellers do better with full-to-full unless the prepaid option is discounted and clearly explained.

Why was I charged a refuelling fee when the gauge looked full?

Because suppliers often use their own tolerance rules, and dashboard gauges are not perfectly precise. A near-full return is not always accepted as full, especially at strict airport desks.

Categories & Upgrades

What is a SIPP code?

A SIPP code is the industry shorthand for vehicle category, size, transmission, fuel type, and features. It helps you understand what class you booked, but it still does not guarantee a specific make or model.

Is a free upgrade always good?

No. A bigger car can mean harder parking, higher fuel use, and more stress on narrow roads. Ask whether the replacement affects deposit, insurance, or practical usability before accepting it.

Why didn't I get the exact car from the photo?

Because bookings are usually for a class, not a specific vehicle. The photo is marketing; the category and terms are what matter legally.

Should I book a smaller car in Europe?

Usually yes, unless you genuinely need luggage space or passenger room. Small cars are easier to park, cheaper to fuel, and better suited to tight streets in Mediterranean and Balkan destinations.
