Car Hire Cancellation Policy: What You Get Back (And When)

6 May 2026ReviewCarHire Editorial Team5 min read

Free cancellation does not mean full refund. Know the 24-hour rule, the no-show trap, and which suppliers keep your money even when you cancel early.

Free cancellation is the promise that sells bookings. Change your mind? Cancel anytime. No charge. This guide covers everything you need to know about car hire cancellation policy before you book.

The reality is more conditional. Free cancellation means you can cancel without a penalty fee. It does not always mean you get 100% of your money back, and it almost never means instant refund.

This guide is the detailed breakdown of what each supplier promises, what they actually do, and how long your money stays in their account.

The three types of cancellation policy

Free cancellation

  • Cost: Nothing to cancel
  • Refund: Full refund to original payment method
  • Timeframe: Usually up to 24 or 48 hours before pickup
  • Catch: Refund processing takes 3–10 working days, not instant

Partial cancellation

  • Cost: Deducts first day, admin fee, or insurance cost
  • Refund: Remaining balance returned
  • Example: Cancel a 7-day rental, lose day 1 (€25) + booking fee (€15)

Non-refundable / pre-paid

  • Cost: Lose 100% of payment
  • Refund: None
  • When booked: Usually the cheapest rate option on broker sites

The no-show trap

The most expensive mistake you can make is not showing up without cancelling. If you simply do not arrive at the desk:

  • No refund — even if you had free cancellation
  • Full charge — your card is billed for the full rental period
  • Marked as no-show — some suppliers flag your profile for future bookings

The fix is simple: if you cannot make it, cancel before the window closes. An email cancellation at 23:00 the night before saves you. Silence at 10:00 the next day costs you.

Refund speed: where the money goes

A refund is not instant. The payment chain is: supplier → merchant processor → your bank → your account. Each step adds days.

Payment methodTypical refund time
Credit card3–10 working days
Debit card5–14 working days
PayPal1–3 days
Apple Pay / Google Pay3–10 working days
Pre-paid travel card14–28 working days

Review note: A customer who cancelled with Europcar at Lisbon Airport said: "Cancelled 3 days ahead. Free cancellation. Money took 12 days to hit my account. By then I had already rebooked elsewhere and paid twice. Not really 'free' if you need the cash to rebook."

COVID-19 changed everything

During the pandemic, most suppliers relaxed cancellation rules. Some offered credit vouchers instead of refunds. These policies have tightened again.

Post-2023, the trend is back to strict terms. Many "flexible" rates now carry a small premium. The cheapest rate on comparison sites is almost always the non-refundable one. Read the label.

How to protect yourself

  1. Screenshot the cancellation terms at booking. Website terms change. Your booking confirmation is your proof.
  2. Use a credit card — easier to dispute if the refund does not arrive
  3. Book pay-on-arrival when possible — no money leaves your account until pickup
  4. Set a calendar reminder 48 hours before pickup. If plans change, you have time to cancel within the window

FAQ

What does free cancellation really mean?

It means you can cancel without paying a penalty fee. It does not always mean instant refund, and it usually has a time window (24–48 hours before pickup).

Can I cancel after the free window closes?

Sometimes, but you will be charged. Usually the cost is one day's rental plus an admin fee.

What happens if I do not show up?

You are charged for the full rental period. No-shows are treated as cancellations after the window closes.

Why does my refund take so long?

The refund goes through the supplier, a payment processor, and your bank. Each adds 1–3 days. Debit cards and travel cards are slower than credit cards.

Is the cheapest rate always non-refundable?

Usually, yes. The lowest price on comparison sites is typically a pre-paid, non-refundable rate. Flexible rates cost 10–20% more.

Can I dispute a refund delay with my bank?

Yes. If the refund is outside the supplier's stated timeframe, a credit card chargeback is legitimate. Keep your cancellation confirmation email.

Do brokers have different cancellation rules than suppliers?

Often, yes. A broker like Rentalcars or Kayak may advertise free cancellation, but the supplier's terms override it. Check both sets of terms.

What if the supplier goes bust before my rental?

If you paid by credit card, chargeback protects you. If you paid by debit card or bank transfer, recovery is difficult. Credit card bookings are safer for large or advance payments.
